Questions, answered plainly

The questions office managers ask us most, grouped by topic. If yours is not here, call and ask. You will get a straight answer from someone technical.

Pricing and agreements

How do you set the price?

Per user, per month, within the ranges on our pricing page. Where you land depends on how many devices each person uses, whether you have servers, and how many sites you have. After the free assessment we put the exact number in writing.

What is not included?

New hardware, software licences, and big projects such as an office move or a new network. We quote those separately and never start them without your written OK.

Is there a contract?

A 12-month agreement with a 90-day exit if we are not working out. After the first year, either side can end it with 60 days' notice.

Do you charge for onboarding?

Yes, once. It covers the walkthrough, documentation, monitoring rollout and fixing anything urgent in the first month. It usually runs $40 to $90 per user, with a $1,200 minimum.

Switching providers

How hard is it to switch from our current IT company?

Easier than most people expect. We handle the conversation with your current provider, collect passwords and licence details, and overlap for a short time so nothing is dropped.

Will there be downtime?

Usually none during work hours. Anything that needs a restart or a switch-over happens after hours, with notice.

How long does onboarding take?

About 30 days for most offices. Larger or messier setups can take six to eight weeks. We give you a schedule up front and update it weekly.

Support and response

How do we get help?

Call the help desk line, email the help desk, or use the client portal. All three create a ticket so nothing gets lost.

How fast do you respond?

Our sample agreement sets response targets by priority: 15 minutes for critical, 1 business hour for high, 4 business hours for normal and next business day for requests. They are targets, not guarantees, and we report our real numbers monthly.

Do you come onsite?

Yes, in the Winnipeg area on Managed and Managed Plus. Most problems are fixed faster remotely, so we visit when it actually helps.

What happens if you miss a target?

It shows up in your monthly report with a short reason. If we miss often, you can use the exit clause. We would rather earn the renewal than trap you.

Security and data

Can you guarantee we will never be hacked?

No, and be careful of anyone who does. We lower the risk with proven basics and make sure you can recover quickly if something gets through.

Do we have to move everything to the cloud?

No. We recommend the cloud where it clearly helps and a local server where it does not. Many clients run a mix.

Who owns our data and passwords?

You do. Admin passwords live in a shared vault you can open, and every setup is documented. If you leave, we hand it all over in a meeting.

About specific services

Managed IT: What counts as a user?

A person with their own email account. Their laptop, phone and a desk computer are all covered under that one price. Shared devices like a front-desk PC are priced separately and simply.

Managed IT: Do you replace our current IT person?

Not necessarily. Many clients keep a staff member who knows the business and hand us the technical work. We call that co-managed IT and price it the same way.

Help Desk: How fast will someone respond?

Our sample agreement sets targets by priority, from 15 minutes for a whole-office outage to the next business day for routine requests. They are targets, not guarantees, and you see our real numbers every month.

Help Desk: Can we call about anything?

If it plugs in or signs in, call. If it is outside what we support, we will say so and point you to who can help.

Cybersecurity: Will multi-factor sign-in annoy my team?

For about a week. We pick the least painful method for each person, warn everyone ahead of time, and keep the help desk free that week for questions.

Cybersecurity: Do you watch for threats at night?

Automated tools run all the time on every plan. On Managed Plus, a partner security team also reviews alerts around the clock and calls us if something needs a person.

Cloud and Microsoft 365: Will we lose email during the move?

No email is lost. There is usually a short window over a weekend when new mail is delayed by a few minutes while the switch-over finishes. We schedule it with you.

Cloud and Microsoft 365: We use Google Workspace. Do we have to switch?

No. We support Google Workspace too. We only suggest a move if it clearly saves money or solves a real problem for you.

Backup and Recovery: Where is our data stored?

Your off-site copies stay in Canadian data centres. We list the exact providers in your agreement.

Backup and Recovery: Does Microsoft not already back up our email?

Microsoft keeps its service running, but it is not designed as a long-term backup of your data. A separate backup protects you from accidental deletions and account problems.

Network Setup: Can you reuse our existing equipment?

Often, yes. If a device still gets security updates and fits the plan, we keep it. We only replace what is unsafe or holding you back.

Network Setup: Do you run cabling yourselves?

Small runs, yes. For large cabling jobs we bring in a licensed low-voltage contractor we work with often and manage the job for you.
