The workflow

What connects a CallRail call to a Meta event.

The field map

CallRail logs the source, keyword, landing page, and duration on every tracked call, along with texts and form completions on the same tracking number. We map the qualifying rule, usually a minimum duration or a manually tagged call, that decides which of those becomes a Meta event.

The identity match

CallRail's own documentation is direct about this: in Offline Events mode, the fbclid is not used for matching at all. Instead, the caller's phone number and, where captured, their email are hashed and sent to Meta, which is why capturing an email somewhere in the call flow, a follow up text or form, strengthens the match.

Where the data enters

CallRail's Facebook integration offers two connection modes in its own settings: a browser pixel for on-site events, and Offline Events, which CallRail documents as feeding Meta Ads Manager's server-side offline conversions path. We turn on Offline Events specifically for call, text, and form data, since the pixel mode alone never sees a phone call.

How failures surface

Meta's Events Manager reports a match quality score for every batch, and CallRail's own documentation notes calls typically post within about thirty minutes rather than instantly, which we account for before assuming a delay means a broken connection.

What makes this hold up over time.

Access we need first

Admin access to your CallRail account to configure the Offline Events connection, plus Meta Events Manager access to confirm the dataset receiving the calls. We do not need access to your Meta ad account's billing.

What gets delivered

A working CallRail Offline Events connection sending qualified calls, texts, and form completions to Meta's Conversions API, plus a written note on the qualifying rule your front desk should understand too.

The acceptance test

We place one real test call from a tracked session, mark it qualified the way a real call would be handled, and confirm it appears in Meta's Events Manager within CallRail's normal posting window before calling it done.

What is out of scope

Whether your team answers every call and how they judge a lead as qualified is your own process. We build the pipe and set a sensible starting rule, with call handling training available separately if you want it.
