The field map
QuickBooks Online's invoice and payment records carry the customer name, the amount, and the paid date. We add a custom field, either on the customer or the invoice, to store the original lead source identifier carried over from your CRM. A job invoiced in stages, a deposit followed by a final invoice, needs a rule for which amount actually counts.
The identity match
Because a gclid rarely survives a multi week sales cycle on its own, the match usually runs through your CRM: the lead's original click is captured there at intake, and a reference travels with the customer into QuickBooks at job creation. We confirm which CRM field already stores lead source before deciding where that reference gets copied.
Where the data enters
QuickBooks Online's API supports webhooks for invoice and payment events. We read the invoice paid event through Zapier, Make, or a custom function, look up the linked lead record, and send the real paid amount to Google Ads as an offline conversion. We test the webhook against a real paid invoice in your account, not a generic sample.
How failures surface
If staff create a QuickBooks customer manually without carrying over the lead reference from the CRM, that invoice has no way to be traced back to an ad click. It still gets paid normally; it just cannot be reported as ad attributed revenue. We flag any customer created without that reference during a monthly review.

No native connection exists between the two. This runs through QuickBooks Online's API or webhooks, picked up by a tool such as Zapier or Make, reading a paid invoice and pushing its value to Google Ads separately.
The gclid itself will not survive that long inside Google Ads' own matching window, which is why the reference gets carried through your CRM instead, as a stored identifier tied to the customer record rather than a raw click.
Usually, yes, a small amount. Staff need to make sure a new QuickBooks customer is created from the CRM's existing lead record rather than typed in fresh, so the lead reference carries over. We document this clearly.
Yes, we can send the value once the invoice is marked fully paid, or send it in parts as partial payments land, depending on how your business typically invoices. We set the rule with you during the build.
